Accounts — the khata

Customers and suppliers in one list, each with what they owe you, what you owe them, and the running balance. This is the khata.

What this screen is for

Eatin POS keeps one list of parties rather than separate customer and supplier books, because in practice the same person is often both — the man who supplies your chicken also eats at your restaurant. Each account carries a receivable (what they owe you), a payable (what you owe them) and a net balance.

How to get here

  • Total Receivable — everything owed to you, across all accounts
  • Total Payable — everything you owe

The walk-in customer

One account is marked as the walk-in customer — the default the till uses when nobody is named. You can set which account plays that role from this screen. Anything billed to it is anonymous by design, so never put credit on it.

Step by step

Putting a regular on khata

  1. Add Account with their name and phone.
  2. At the till, choose them as the Customer before billing.
  3. Settle with Pending or a part payment — the rest becomes their receivable.
  4. When they pay, raise a Receipt.

Checking what someone owes

  1. Find them on this list and read Balance.
  2. For the detail behind the number, open Account Statement and pick them.

Chasing overdue money

  1. Look at Owed on Bills on the Dashboard for the overdue figure.
  2. Sort this list by Receivable.
  3. Use Last Paid to see who has gone quiet.

Good to know

  • One party, both directions. Someone can owe you and be owed by you at once; the balance nets it off.
  • Deactivate rather than delete. Deleting loses the history; Inactive just takes them out of the dropdowns.
  • Phone is required because it is how staff find the right person at the till when two guests share a name.
