Opening Balance
What customers already owed you, and what you already owed suppliers, on the day you started. Old khata, carried in.
What this screen is for
Your khata did not start the day you installed the app. This screen carries the old balances in, so the first statement you print for a customer shows their real position rather than only what they have spent since.
How to get here
Sidebar → Setup → Opening Balance.
The screen, part by part
Details
- Date — your go-live date. Every balance here is "as at" this date.
- Reason / Note — e.g. Opening balance as of go-live.
Parties
Search for a customer or supplier and add them. Each row has:
| Column | Meaning |
|---|---|
| Customer / Supplier | The account |
| Direction | Whether they owe you (receivable) or you owe them (payable) |
| Amount | How much |
| Current Balance | What the app currently shows for them |
Total Receivable and Total Payable run along the bottom.
Step by step
- Gather your old khata — the notebook, the ledger, the spreadsheet.
- Make sure every person in it exists on Accounts first.
- Set the Date to your go-live date.
- Add each party, set the Direction, enter the Amount.
- Check the two totals against your own figures before saving.
- Open Accounts — the balances should now match your book.
Good to know
- Direction is the thing to get right. Receivable means they owe you; payable means you owe them. A reversed row is worse than a missing one.
- Do this once, early. Entering opening balances after weeks of trading means unpicking which bills were already settled.
- Opening balances are not sales. They never appear in your sales figures or your profit — they are a carried-forward position.
- If you only need one or two people carried in, that is fine. It does not have to be all-or-nothing.
