Stock Consumption

Stock that left the kitchen without being sold — staff meals, spoilage, washroom supplies, a dropped tray. Written off here and booked as an expense.

What this screen is for

Not everything you buy gets sold. If it leaves the shelf and nothing bills it, your stock figure drifts upward and your profit looks better than it is. This screen takes the stock out and posts its value as an expense in one action, so both sides stay true.

The screen, part by part

The header fields

Expense categoryWhich category the write-off is booked to, e.g. Consumables. You can create one here

ReasonFree text — this becomes the expense's description, so make it readable: Washroom restock, Staff lunch, Spoiled milk

The lines

Add line for each item:

Booked as expense at the bottom shows the total that will hit your expenses.

Recent consumption

Underneath, a list of past write-offs: the document, its date, how many items, which expense it created and its value. Each can be reversed — the stock goes back and the expense is undone. A reversed document is tagged, not deleted.

Step by step

Writing off spoilage

  1. Category Wastage (create it if it does not exist).
  2. Reason: Spoiled — power cut Thursday night.
  3. Add each item with the quantity thrown out.
  4. Save. Stock drops and an expense appears on Expenses.

Staff meals

  1. Category Staff Meals.
  2. Reason: Staff dinner, week 12.
  3. Add the ingredients used.
  4. Save once a week rather than per meal — enough accuracy, far less typing.

Undoing a mistake

Find the document under Recent consumption and reverse it. The stock returns and the expense is cancelled.

Good to know

  • This is the screen that makes stock figures believable. A kitchen with no write-offs recorded is a kitchen whose stock value is too high.
  • The expense it creates is a normal expense — it shows on the Dashboard cash-out and in your expense totals.
  • Use consistent categories. Wastage, Staff Meals and Consumables answer most of it, and they make the totals worth reading.
